Privacy

WichtelCircle needs little data, and we handle it sparingly. This page says which data and why.

This notice describes how the software actually works. A legal review is still pending.

Who is responsible

The controller is Digivasion GmbH. Contact: kontakt@wichtelcircle.com. The person who organises an event and uploads the list is also responsible for the participants' data.

What we store

From organisers: name, optional email address, the event details. From participants: name, optional email address and department, the optional wish list (texts, hobbies, wishes with links and optional photos), and whether the personal link was opened and the match revealed. Photos are shrunk on upload and stored without metadata. Uploaded Excel and CSV files are only read in memory and never stored.

What for

Only to run the Secret Santa: drawing, delivering links, reminding about the exchange. No advertising, no selling, no sharing with third parties.

The draw

The assignment is generated on the server with cryptographic randomness and stored encrypted. Each person can see only their own match through their personal link; the organiser cannot see it.

Emails

Emails go through our own mail server. They contain the personal link but never the name of the person drawn. We only email participants after the organiser has confirmed their email address.

Where the data lives

On a server run by Hetzner Online GmbH in Finland (EU). We use no analytics tools, no ad networks, and load no fonts or scripts from other servers.

How long

An event is deleted automatically 90 days after the exchange date, drafts after 30 days without changes, demo data after 24 hours. The organiser can delete an event immediately at any time.

Cookies

One strictly necessary cookie keeps organisers signed in, another remembers the language. On the page with your lot, a third strictly necessary cookie remembers the browser you revealed in, so you can see if your lot is opened anywhere else. Your light or dark choice is stored locally in your browser.

Your rights

You can ask for access, correction and deletion. Participants can leave from their own page. For anything else, write to kontakt@wichtelcircle.com.
